job description

Together with our client, a medical company, we are looking for a Complaint Specialist, who will join a new GBS in Warsaw.

your tasks

  • creating, documents and coordinating the complaint records and corresponding tasks within dedicated software tools
  • escalating potential critical issues to management and to the product manufacturer, to initiate containment actions when necessary
  • connecting with appropriate subsidiaries in case of translation needs
  • performing and documenting follow up as required to obtain necessary information from subsidiaries, sales force or any other relevant source
  • ensuring that complaint documentation is complete, comprehensible and conforms with the regulation requirements and applicable procedures
  • reviewing the processed complaints in regards of adequacy and completeness and re-opens complaint records when additional information is received or when necessary
  • requesting and managing product returns
  • performing complaint search reports according customer needs
  • ensuring compliance with appropriate time limits
  • monitoring appropriate metrics to measure key performance indicators of the unit
  • proactively communicating process improvement opportunities to management
  • continuously helping to improve existing processes, forms, tools and databases

what we expect

  • experience in an Industrial/Medical Environment preferred
  • experience in administrative work for at least 2 years
  • time management skills and proven ability in balancing priorities among the many ongoing tasks and being responsive to critical situations
  • interpersonal skills - ability to work in an international environment with individuals at all corporate levels and different cultures, as well as good communication skills
  • detail and precise working personality
  • fluent English is a must
