We are looking for an experienced HR & Administration Specialist to support payroll and administrative operations. You will be a key person responsible for the efficient functioning of HR processes at the Polish office, providing support to employees and collaborating with external partners.

HR Administration
Maintaining employee documentation (personal files) in both paper and electronic formats.
Administering the HRIS system (ADP).
Coordinating medical check-ups and mandatory training (e.g., Health and Safety, first aid).
Providing full administrative support for employee onboarding and offboarding processes.
Creating and updating employment-related documents (contracts, amendments, internal policies).
Payroll Support
Preparing data for payroll, including time and attendance tracking and absence records.
Collaborating with an external accounting firm on payroll calculations.
Administering employee benefits.
Administrative and Logistics Support
Preparing travel documentation (visas, powers of attorney) for employees on international business trips.
Assisting with the coordination of orders and distribution of marketing materials.
Organizing company events.
IT Support
Coordinating the basic IT setup for new employees.
Collaborating with the IT department on access to internal systems.
Minimum of 2 years of experience in a similar role.
Higher education (preferably in HR, law or administration).
Excellent command of Polish and English, enabling fluent communication with company headquarters.
Practical knowledge of labor law, payroll regulations.
Knowledge of HRIS systems (ADP).
Experience in preparing employee documentation.
Exceptional organizational skills, diligence and attention to detail.
The ability to work in a dynamic environment and a proactive approach to tasks.
Strong knowledge of the MS Office suite, especially Word and Excel.
Excellent interpersonal skills and a professional attitude when interacting with people at all levels of the organization.
